- Use the municipality’s map to locate the actual address.
- Agree who checks the assigned vehicle and its registration details.
- Treat entry to the area, unloading and building access as separate questions.
Start with the mapped area
Leeuwarden’s entry-exemption page links to a map of the low-traffic city centre. Look up the collection and delivery addresses if both are in the city. An estate agent’s description of a property as “central” is not precise enough for this check.
The Dutch term “autoluwe binnenstad” means low-traffic city centre. Send your mover the full address and the map link. If the usable entrance is on a different street, identify it separately and add a photo. The approach needs to match the entrance the crew will actually use.

Confirm the vehicle details with the mover
Ask which vehicle is proposed and when its registration number will be available. On Dutch forms, “kenteken” means the vehicle registration number. Agree who checks the access arrangements for that particular journey. If you also hire a van yourself, raise it as a separate vehicle.
The municipality’s information includes a process for changing vehicle details on an entry exemption. If the mover assigns a replacement vehicle, tell the person handling the access check. Do not assume paperwork prepared for an earlier vehicle has automatically changed.
Connect the arrival plan to the unloading work
Describe what needs to be unloaded, where it will enter the property and who will be present. Ask the mover to fit that work around the current city information for the proposed situation. Keep a preferred arrival time separate from a confirmed arrangement.
Leeuwarden’s municipal page discusses loading and unloading separately from entry exemptions. The English version is available if Dutch municipal wording is unfamiliar. Read the section that matches the situation, then raise any uncertainty with the municipality rather than relying only on the short introduction.

Arrange the last part of the route inside the property
Agreeing the vehicle’s arrival does not arrange access through a shared entrance. Give the mover the floor, staircase details and information about any internal lift. Ask your landlord or building manager about moving arrangements and pass those instructions on.
For floor descriptions, “begane grond” means ground floor. Make it clear where the furniture should end up. Have the mover assess equipment against the load and access. If an external furniture lift is proposed, ask for its setup position to be assessed as well.
- Who opens the correct entrance for the crew?
- Which rooms should the furniture go to?
- Who tells the driver about changes to access or arrival?
Keep confirmations with the moving plan
Write down who is checking the city information and which answers are still outstanding. Forward a new response to the mover and ask whether it changes the proposed work. A pending access question should stay visible until someone resolves it.
Keep a short final note with the address, entrance, vehicle, contact person and agreed arrangements. Share it with the person receiving the delivery. The goal is to give the driver and the person holding the keys the same current plan, rather than several separate messages to piece together.
